This policy explains how Dollars4Cars collects, uses, protects and discloses personal information.

1. Information We Collect

When you request a quote or contact us:

  • Name, phone number, email address
  • The location of the vehicle (address, neighbourhood or town)
  • Vehicle details: year, make, model, VIN, odometer reading, condition, photos you send us
  • Any information you volunteer in a message or conversation

When we purchase a vehicle from you — information we are legally required to collect:

  • Your legal name and current address
  • Valid government-issued photo identification, including the unique identification number on that identification
  • Your business name, if the vehicle is sold by a business
  • Transaction details: date, time, location, dollar value, and the method of payment used
  • Vehicle details including the VIN and proof of ownership
  • Details of any vehicle used to deliver the property, including licence plate, make, model and colour

When you use our website:

  • Technical information your browser sends when loading the site, such as IP address, browser and device type, referring site, and general location
  • Cookies and similar technologies (see section 7)

Payment information: where payment is made by electronic transfer or cheque, we collect the email address or account details necessary to send that payment.

We do not knowingly collect personal information from anyone under 18. Alberta law requires that we only purchase from sellers aged 18 or older.

2. Why We Collect It

We use your personal information to:

  • Provide a quote and answer your enquiry
  • Schedule and complete a vehicle pickup
  • Verify that you are the registered owner and legally able to sell the vehicle
  • Prepare a bill of sale and complete the transaction
  • Process payment to you
  • Comply with our legal obligations under Alberta's Scrap Metal Dealers and Recyclers Identification Act and its regulation, and other applicable law
  • Keep records required for tax, accounting and audit purposes
  • Respond to complaints and resolve disputes
  • Improve our website and services
  • Send you marketing communications, only where you have consented (see section 6)

We do not sell your personal information. We do not rent, trade, or otherwise make it available to third parties for their own marketing purposes.

3. Consent

By requesting a quote or providing information to us, you consent to us collecting, using and disclosing your personal information for the purposes described in this policy.

You may withdraw consent at any time by contacting our Privacy Officer, subject to legal and contractual restrictions and reasonable notice.

Important: we cannot complete a vehicle purchase without collecting the information Alberta law requires us to collect and report. If you withdraw consent to that collection, we will not be able to buy your vehicle. Withdrawing consent also does not require us to delete records we are legally obligated to retain.

4. Who We Share It With

Law enforcement and government. Alberta legislation requires businesses in our industry to report prescribed transaction and seller information to law enforcement through a centralized database. We also disclose information where required by a court order, subpoena, warrant, or other lawful requirement, and where a peace officer or law enforcement agency exercises a power to require it.

Service providers. We share information with third parties who perform services on our behalf, only to the extent needed:

  • Towing and transport operators who collect your vehicle
  • Certified recycling and dismantling facilities that process vehicles
  • Payment processors and our financial institution
  • Website hosting, form, and analytics providers
  • Accountants, bookkeepers and legal advisors

We require service providers to protect personal information and use it only for the purposes we specify.

Registry agents and insurers. Where you ask us to assist with a registry or insurance matter, we share only what's necessary for that purpose.

Business transfers. If our business is sold or reorganised, personal information may be transferred as part of that transaction, subject to applicable privacy law.

Outside Alberta. Some service providers — particularly website hosting and analytics — may store or process information outside Alberta or outside Canada. Where that happens, information may be accessible to foreign courts, law enforcement and regulatory authorities under the laws of that jurisdiction. Contact our Privacy Officer for more information about our use of service providers outside Canada.

5. How Long We Keep It

Transaction records: Alberta legislation requires us to retain prescribed transaction and seller information for a minimum period — currently at least two years from the date of the transaction. We retain these records for at least that long, and generally for 30 days beyond the legally required period to meet tax, accounting and limitation-period requirements.

Quote enquiries that don't proceed: retained for 30 days and then deleted.

Marketing contact details: retained until you unsubscribe or ask us to remove them.

When personal information is no longer needed and no longer subject to a legal retention requirement, we securely destroy, erase or anonymise it.

6. Marketing and Electronic Messages

We only send commercial electronic messages — email or SMS — in accordance with Canada's Anti-Spam Legislation (CASL).

  • We send them only with your consent, or where we have an existing business relationship as CASL defines it
  • Every message identifies us and includes our contact information
  • Every message includes a working unsubscribe mechanism
  • We action unsubscribe requests promptly

Replying to a quote request is not consent to marketing. Transactional messages about a vehicle you asked us to quote or collect are not marketing messages.

7. Cookies and Website Analytics

Our website may use cookies and similar technologies to make the site function and remember basic preferences. We are not currently running Google Ads, Google Analytics, or other third-party advertising or analytics tracking on the site.

You can control or block cookies through your browser settings. Blocking some cookies may affect how parts of the site work.

8. How We Protect Information

We maintain reasonable physical, organisational and technological safeguards appropriate to the sensitivity of the information, including restricted access, secure storage of identification records and bills of sale, and access limited to personnel who need it to do their jobs.

No system is completely secure, and we cannot guarantee absolute security. If we become aware of a breach of security safeguards involving personal information under our control where there is a real risk of significant harm, we will report and notify as required by applicable privacy legislation, including reporting to the Office of the Information and Privacy Commissioner of Alberta.

9. Your Rights

Under Alberta's PIPA you have the right to:

  • Access the personal information we hold about you
  • Request correction of information that is inaccurate or incomplete
  • Ask how we collect, use and disclose your information
  • Withdraw consent, subject to the limits in section 3

To make a request, contact our Privacy Officer at cashforcarsalberta@gmail.com. We may ask you to verify your identity. We will respond within the timeframe required by PIPA — generally 45 days — and will tell you if we need an extension or if an exception applies. A minimal fee may apply to certain access requests, and we will tell you in advance if so.

Limits on access: we may not be able to provide access to information that would reveal personal information about another person, that is subject to solicitor-client privilege, or where disclosure is restricted by law, including in relation to a law enforcement investigation.

11. Changes to This Policy

We may update this policy from time to time. The current version is always posted on this page with its effective date. Material changes will be highlighted here. Continuing to use our website or services after a change means you accept the updated policy.
